Job Description - Programs and Experience Manager

Classification: Full-Time/ Salaried

Salary Range: $35,000 - $41,000

Reports to: Executive Director and CEO

The Programs and Experience Manager is charged with managing the development of a broad base of community volunteers, who actively support the Food Bank of Northern Indiana’s mission of creating a hunger free community, in addition to managing all programs for the Food Bank to help generate avenues of additional revenue while helping to improve organizational relevance and sustainability.

The following is a list of major duties and responsibilities for this position. It is not all-inclusive. Other duties and responsibilities may be added as needed and management as appropriate may modify this job description.

Essential Duties and Responsibilities

1.     Create, develop, evaluate and promote a volunteer utilization program from a diverse pool of active volunteers from the community including but not limited to: individuals, businesses, faith-based groups, civic groups, academic interns and governmental agency referrals.

a.     Recruit, cultivate, and evaluate volunteers to ensure that the Food Bank is a volunteer site of choice in the community.

Retain current volunteers and work with key staff to develop volunteers into donors.
Create materials related to the volunteer management program.
Refresh current and develop new volunteer activities for Food Bank volunteers.

2.     Engage in volunteer management best practices.

a.     Maintain awareness relative to the field.

b.     Assist the Agency Relations Director to help partner agencies to develop and implement effective volunteer management programs.

3.     Participate in strategic planning for the Food Bank of Northern Indiana.

a.     Engage in resource development by actively seeking potential resources through volunteer contacts and relationships.

b.     Engage in organization capacity-building activities.

c.     Adhere to Feeding America and Food Bank regulations and guidelines (e.g. food safety).

d.     Assist with other departments and activities as needed (e.g. events).

4.     Provide excellent customer service to all potential, donors, visitors, clients, and stakeholders.

a.     Engage in the following tasks or behaviors that represent excellent customer service: timely responses, punctuality and attendance, treating others with respect, distributing quality product, being knowledgeable and providing accurate information, and using appropriate non-verbal and verbal communication.

5.     Ensure the development, implementation and financial health of organizational programs including but not limited to: Food 4 Kids Backpack Program, Healthy Choices Market, Healthy Choices Mobile Markets, Senior Nutrition Program, SOUL Coffee sales and others as appropriate.

1.     Bachelor’s degree or five years equivalent experience in customer service, sales, or program management.

2.     Demonstrated fundraising success.

4.     Excellent public speaking skills.

5.     Ability to generate enthusiasm and interest from others for working on Food Bank programs.

8.     Good computer skills (word processing, spreadsheet, email).

11.  Flexible work schedule which may include occasional early morning, evening and weekend activities and appointments.

JOB DESCRIPTION                          DRIVER

POSITION PURPOSE:                      The main purpose of the Driver is to assure all orders are filled and delivered accurately and in good condition.

EXEMPT / NON-EXEMPT:               Non-exempt, part-time

REPORTING TO:                            Warehouse Manager and/or Assistant Warehouse Manager

THIS POSITION:                               None (Community Service/Volunteers on occasion)

MAJOR FUNCTIONS:

1.       Responsible for local trucking of product, both distribution of product to agencies and receiving of products from donors.

2.       Responsible for vehicles, including cleaning and maintaining proper maintenance.

3.       Responsible for proper use and care of all equipment (pallet jacks, forklifts, etc.).

4.       Responsible for proper and safety handling of all food and product.

SPECIFIC FUNCTIONS:

1.  Position is responsible for trucking, scheduling with donors and agencies, the pickup of donations and delivery of orders.

2. Position is responsible for checking in all product that was picked up from donors and complete all necessary paperwork. 

3. Drivers are required to assure orders and donations are properly accounted for before leaving facility.  This includes all necessary paperwork, proper charging of product and service fees before leaving on deliveries.

4. Position assists in warehouse duties when not delivering.  This includes filling of orders, maintaining all aspects inventory control and cleaning/maintenance of facility, when needed.

5. Drivers must keep vehicles in good condition.  This requires routine maintenance checks, cleaning of vehicle inside and out, as well as reporting to Warehouse Manager  and/or Assistant Manager when a problem or potential problem does exist.

6. Drivers assure safe transportation, maintaining proper food handling requirements.  This includes Feeding America, USDA and OSHA guidelines.

7. Position requires assistance at food drives and other events which might require evening, weekend and other “off hour” work.  These events might also require working with volunteers assisting with the event.

8. MUST maintain the highest customer service acumen possible.  This includes common courtesy, quality assistance and proper appearance when representing the Food Bank.

9. All other assignments as required by Warehouse Manager and Assistant Warehouse Manager.

QUALIFICATIONS AND/OR TRAINING:

  • Must be of good character and willing to maintain good customer service. 
  • This position must have a valid Indiana or Michigan driver’s license. 
  • Good math skills are required. 
  • Customer service skills, people person, a work history reflecting good driving skills is preferred; history of good attendance and performance is required. 
  • Become Serv-Safe certified: with commitment to adhering to principles and practices of food safety. 
  • Requires the ability to use warehouse equipment and become certified to use such equipment (forklift and electric pallet jacks).
  • One-year driving experience of a box truck.
  • Have a personal cell phone for work usage.

PHYSICAL REQUIREMENTS:

Lifting (a minimum of 50 lbs.), redistribution and handling of food, is required.  Must be able to stand and/or walk on concrete floors for extended periods of time, as well as areas of extreme cold for short periods of time.  Must be able to pass a drug and alcohol test.

Job Description - Agency and Marketing Assistant

  • Classification: Part-time, maximum of 24 hours per week.
  • Reports to: Executive Director as a direct report; Director of Agency Relations as a dotted line report.

Position Overview:

The Agency and Marketing Assistant provides an important administrative support role in marketing and agency relations for the Food Bank of Northern Indiana. This position will participate in capacity building and creating value-added relationships with agency partners and community stakeholders.

The following is a list of major duties and responsibilities for this position. It is not all-inclusive. Other duties and responsibilities may be added as needed and modified as necessary.

Essential Duties and Responsibilities:

Provide data entry for The Emergency Food Assistance Program (TEFAP) orders.
Assist in record keeping and file maintenance in Agency Relations Department.
Generate and send agency mailings and other correspondence as needed.
Maintain, correct and update database records for agency partners as appropriate.
Assist in creation of agency relations reports as needed.
Solicit businesses/organizations to conduct food and funds drives
Schedule food drive delivery and pick-ups.
Maintain database of food drives. Generate and send acknowledgement letters for food drives.
Assist in organization marketing activities as needed including mailings, promotions, special events, etc.
Engage in the following tasks and behaviors that represent excellent customer service to all FBNI donors and stakeholders: timely responses, punctuality and attendance, treating others with respect, distributing quality product, being knowledgeable and providing accurate information, and using appropriate non-verbal and verbal communication.
Other duties as assigned by supervisor.
